📢 How to Set a Custom Voicemail Greeting in the 3CX Application

A simple guide for Web Client & Desktop App users

Setting a personalised voicemail greeting is quick and easy in 3CX. You can upload your own message or record a fresh one right from your computer or desk phone.

It can be done by three different ways:
- 3CX Web Client
- Your Deskphone
- 3CX Mobile App


🌐 Option 1 — Set Your Greeting in the 3CX Web Client

1. Log in

Open the 3CX Web Client using your welcome email link and sign in.

2. Go to Your Greeting Settings

Click your profile picture in the top‑right corner, then select:
Settings → Greetings



3. Pick the Greeting You Want to Change

Each status (Available, Away, Do Not Disturb, etc.) can have its own greeting.

4. Choose How to Add Your Greeting

You can:

  • Upload a prerecorded greeting
  • Record using your computer’s microphone
  • Record using your desk phone
  • Delete a greeting
  • Revert to the default system greeting

5. Save

Your greeting is saved automatically and applied to the chosen status.


🖥️ Option 2 — Set Your Greeting in the 3CX Windows Desktop App

1. Open the app

Launch the 3CX Desktop App on your PC.

2. Open Greeting Settings

Click your profile picture, then select:
Configure → Greetings

3. Add or Record Your Greeting

Choose to upload a file, record via your PC, or record via your desk phone.

4. Save

Your new greeting is applied immediately.


Option 3: Using the 3CX Mobile App

✅ Steps:

  1. Open the 3CX mobile app.
  2. Tap the keypad.
  3. Enter and dial “999” or "99999" and then your voicemail pin, and then the key, when prompted.
  4. Press "9" for options, when prompted.
  5. Enter the "8" to change your greeting, and then "8" to record the greeting.
  6. Record your message and save.


🎙️ Tips for a Great Voicemail Greeting

  • Record in a quiet room
  • Speak clearly and slowly
  • Tell callers who you are and what to do next
  • Keep it short and friendly
Alert
If you want to check another voicemail box, that is not your own press the # key when prompted for the personal identification number. You will then be promoted for the mailbox number and then PIN of the other mailbox.


Testing your Voicemail Message

  1. The simplest way to test your message is to call the extension with the voicemail you have just updated.
  2. Don't answer the call, let it ring through to be answered by voicemail.
  3. Leave a message and wait for it to be emailed through.
  4. If you don't like the message, then re-record it.
